Astra 2026 is committed to protecting your personal information and ensuring full transparency in how your data is collected, stored, and used.
1. Overview & Scope
This Privacy Policy applies to the Astra 2026 Web Application, digital ticketing portals, check-in infrastructure, and related technical festival services organized by Sathva College Union 2026 at Government Engineering College Wayanad (GECW).
By registering for an account, generating a Techfest Pass, enrolling in events or workshops, or adding tickets to Google Wallet, you acknowledge and agree to the data collection and processing practices described herein.
2. Information We Collect
We collect only the necessary details required to verify identity, administer event entries, process payments, and issue certificates:
Full Name, Email Address, Contact Phone Number (WhatsApp), College / University, Department, and Academic Year.
Firebase User ID (UID), Google Sign-In profile metadata, email verification status, and encrypted session tokens.
Techfest Pass ID, workshop enrollments, team rosters, competition submissions, and QR check-in timestamps.
Firebase Cloud Messaging (FCM) web push device tokens for opt-in broadcast updates and schedule alerts.
3. How We Use Your Data
- Generating unique digital Techfest Pass IDs and QR code badges for campus entry.
- Authenticating registration records and managing workshop seat allotments.
- Facilitating fast-track check-in verification via QR code scanners at gates and venues.
- Sending transaction receipts, registration confirmation emails, and emergency WhatsApp broadcast updates.
- Generating authorized digital participation certificates upon event conclusion.
- Preventing fraud, duplicate registrations, and unauthorized venue access.
4. Google Wallet & Digital Passes
When you choose to use the Add to Google Wallet feature:
- A secure, cryptographically signed JSON Web Token (JWT) is constructed containing your Pass ID, Name, College, and QR Code barcode.
- The pass data is transmitted securely to Google Wallet API endpoints to render the digital delegate card on your device.
- Saving a pass to Google Wallet is entirely optional and does not grant Astra access to any private payment cards or credit credentials stored inside your Google Account.
5. Payments & Transaction Security
All online payments for workshops, proshows, or paid competitions are processed through Razorpay, a PCI-DSS certified payment gateway.
Astra servers never store, handle, or process your credit/debit card numbers, CVVs, net banking credentials, or UPI PINs. We only receive and store transaction references (Razorpay Order ID and Payment ID) to verify payment completion and generate invoices.
6. Notifications & Web Push
Push notifications are strictly opt-in. When enabled via browser permission, an encrypted Firebase Cloud Messaging (FCM) token is stored to send notifications about:
Event schedule updates, venue changes, proshow artist announcements, and competition results. You can revoke push notification permissions at any time through your browser settings or directly in the Astra Settings page.

You retain full control over your personal records:
- You can view and modify your participant name, contact phone number, college, and department at any time via Account Settings.
- You can request deletion of your account and associated registration metadata post-event by contacting the Sathva Union technical committee.
- You can download or export your registration passes and certificates at any time.
